For practices on Veradigm® EHR and Practice Management

Front-office automation for medical practices.

Drawbridge gives a small practice about 100 staff hours back every month. Patients reach the practice on the first ring instead of hanging up, and results reach the provider as soon as they arrive.

Results

Certified by Veradigm and built for the way practices work.

Drawbridge is designed around why patients call, when they give up and how a front desk spends its day.

Safeguards

Filing and caller access are governed by auditable rules.

Each document and caller is checked against these rules, and every decision is recorded in the audit log.

Documents

  1. Patient matching on two identifiers

Full name and date of birth must match exactly one patient. If the document shows the last four digits of the SSN or an address, those must also agree. Similar names, twins and conflicting identifiers are routed to staff.

  2. Uncertain matches are routed to staff

Documents with more than one patient on a page, an illegible page in a batch or an uncertain digit are routed to staff, with the reason recorded.

  3. Designated document types always go to staff

By default, records requests, prior authorizations, refill requests and referrals are routed to staff. Your practice defines this list.

  4. Critical results are escalated immediately

Critical lab flags create a High-priority review task marked CRITICAL, with a phone call required. Critical results generate a task even for same-day visits.

On the phone

  1. Caller verification before record access

Enforced by the server: the caller must be verified on the call before any patient record is read or changed.

  2. Confirmation before any appointment change

The assistant reads every booking, reschedule, cancellation and confirmation back to the caller and proceeds only after the caller agrees.

  3. No clinical advice; emergencies directed to 911

The assistant never interprets results or medications or gives medical advice; clinical questions are referred to your clinicians. Callers describing an emergency are told to hang up and call 911.

  4. Transfer to staff on request

Callers can ask for a staff member at any time. After hours, urgent calls are written to the on-call notebook with a short brief, and callers are told how to reach the on-call provider. Emergencies are directed to 911.

What patients notice

  • Every call is answered on the first ring, even at lunchtime and late in the day, when calls most often go unanswered.
  • Results reach the provider as soon as they arrive, and critical results are flagged for an immediate call.
  • Visits are confirmed days in advance, so open slots can be offered to other patients.
  • After-hours messages are ready for the on-call provider, with a short summary.

For your staff

Your team starts every day already prepared.

Drawbridge prepares the morning huddle brief before staff arrive, and staff can ask it about the live schedule in plain English.

  • Morning huddle brief: the day's schedule, unconfirmed visits and items waiting for review, summarized for the team huddle
  • Staff assistant: questions such as "Who has an opening Tuesday afternoon?" answered from the live schedule
  • On-call notebook: every after-hours call and message in one place for the morning team

Implementation

Drawbridge learns your practice before it takes on any work.

It fits into the way your practice already works. Your systems, your rules and your team's routines stay exactly as they are; Drawbridge simply takes on the work in the same way.

  4. Go-live on your approval
What happens at each step
  1. Setup questionnaire

Your practice manager answers 15 questions about your rules and how documents flow today: who reviews results, which documents always go to a person, booking rules.

  2. BAA and Veradigm® authorization

You sign our business associate agreement and authorize Veradigm® to give Drawbridge access.

  3. Learning week

For one week Drawbridge works alongside your team and learns how your practice runs: where each type of document is filed, who reviews it and how your schedule works. Your staff work exactly as they do today, and Drawbridge changes nothing.

  4. Go-live on your approval

Faxes and lab files come to Drawbridge first; MOATiT sets up the fax routing and the lab file drop with you. Drawbridge files what it can match with certainty and sends a review task. Anything that needs a person goes to your Veradigm® EHR document queue for staff, as today.

For the phone assistant, your line forwards to Drawbridge first.

Our company

Based in Pocatello, Idaho, since 2013.

Front-desk teams spend a large part of every day indexing faxes and handling routine calls. We built Drawbridge to return that time to patient care without compromising patient safety or privacy.
